Brightspace allows instructors to track grades offline in a spreadsheet and then later import those grades. Note: The import file must be formatted in a specific way to ensure a smooth import process. As a first step, it is recommended that instructors set up their gradebook. Doing so allows instructors to export their grades to an .CSV file which can be used as a template for tracking grades offline. Refer to the Setup the Gradebook using the Setup Wizard guide for assistance.
Export Grades
- Click My Grades on the Navbar and select Grades from the dropdown menu.

- Click Enter Grades.

- Click Export.

- Ensure the Export Grade Items For dropdown is set to All Users.

- In the Key Field section, click Both.

- Use the Sort By dropdown menu to determine how the grade export data is organized. Note: The Org Defined ID and Username columns will need to be the first and second column respectively when importing grades.

- In the Grade Values section, click Points grade. Note: Weighted grades and grade schemes can not be used in grade imports. These grade values must be assigned inside Brightspace.

- In the User Details section, check whichever box(es) you use to identify students. Note: For merged courses, it is recommended that instructors check the Section Membership box.

- In the Choose Grades to Export section, click the checkbox next to each grade item that you intend to track offline. Note: Grade items that cannot be imported will have a question mark icon next to them. These grade values must be assigned inside Brightspace.

- Click Export to CSV.

- Click Download.

Prepare the Spreadsheet
The exported grades CSV file should be used as a starting point; however, some changes need to be made to successfully import the file. Brightspace has a sample import available as an example. Use the headings on the sample file as a reference to ensure the headings on your file are setup correctly.
- Open the CSV file in Excel.
- Ensure that OrgDefinedID is column A.
- Ensure that Username is column B.
- The column heading for each exported grade item contains information about its grading scale. This information must be removed prior to importing grades. In the following screenshot, this is information has been turned red.

- Each grade item must be identified as a Points Grade, Grade Symbol, or Text Grade. Refer to the table at the bottom of this section for more information.

- Instructors can add new grade items directly to the spreadsheet as well. To do so, create a column for the new grade item. Afterward, enter the grade item name followed by Points Grade, Grade Symbol, or Text Grade.
- You have the option of importing the Final Adjusted Grade as well. To do so, ensure that there is an Adjusted Final Grade Numerator columnand an Adjusted Final Grade Denominator column in your spreadsheet.
- Ensure that the final column has the header: End-of-Line Indicator. In this column, there should be a # in each row.

- All other columns must be deleted. This includes:
- Last Name
- First Name
- Section Membership
- Group Membership
- Once finished, save the file as a .CSV, .TSV, or .TXT file.

Upload Process
- Click My Grades on the Navbar and select Grades from the dropdown menu.

- Click Enter Grades.

- Click Import.

- Click Choose File.

- Select the appropriate file. Note: For best results, we recommend limiting your batches to 50 or less. While you can import more than 50, the chance for errors will increase. For merged courses, this means importing grades by section. For abnormally large courses, this means breaking the classlist into groups of 50 or fewer students.
- Click Continue.

- Click Continue if there are no errors.

- Review the preview and click Import if everything looks good.

Create New Grade Items
Brightspace allows instructors to create new grade items while importing grades. If instructors have added new grade items to the grade import file, the import process differs slightly.
- Click My Grades on the Navbar and select Grades from the dropdown menu.

- Click Enter Grades.

- Click Import.

- Click Choose File.

- Select the appropriate file. Note: For best results, we recommend limiting your batches to 50 or less. While you can import more than 50, the chance for errors will increase. For merged courses, this means importing grades by section. For abnormally large courses, this means breaking the classlist into groups of 50 or fewer students.
- Click the Item Creation checkbox if the import file has new grade items.

- Click Continue.

- Use the Type dropdown menu to select the grade type. Note: The dropdown changes depending on whether the grade item is a Points Grade, Grade Symbol, or Text Grade. The options include:
- For Points Grade: Numerical and Pass/Fail
- For Grade Symbol: Selectbox
- For Text Grade: Text

- Click Continue.

- Select the appropriate grade category from the dropdown menu if applicable.

- Select the appropriate grade category from the dropdown menu if applicable.

- Select the appropriate grade category from the dropdown menu if applicable.
